Food & Beverage Policies
 

It is our goal at the Sheraton Birmingham Hotel and Birmingham Jefferson Convention Complex (BJCC) to provide you with nothing less than a successful event. To accomplish this goal, proper pre-planning is the absolute key. In order for us to provide you and your guests, with the best possible service and to help ensure the success of your event, we have established time lines to allow for ample planning and preparation.

All food and beverage to be consumed by your group must be purchased through the Complex. Our culinary teams are highly skilled in accommodating special requests and dietary restrictions should the need arise.

Event Details

To ensure a quality experience for all of your attendees, we will send your Banquet Event Orders (BEO’s) confirming the estimated number of attendees, menu, room set up and other details of your event. We ask that you make any corrections, sign and return the BEOs no later than fourteen (14) days prior to the event. If you do not return the BEOs by that date, you are agreeing that all information in the BEOs is correct.

Final Guarantee Number of Attendees

We ask for a final guarantee of the number of attendees no later than by 5pm CT Four (4) business days (Monday thru Friday, excluding holidays) prior to the event. Please note that once the guarantee has been provided, the numbers may increase but not decrease. If the guaranteed attendance increases less than 3 business days prior to your event, additional increase will be subject to a 15% surcharge on menu prices due to increased costs incurred. Additionally, the contracted menu items may not be available for the additional guests added within 3 business days of the event.


If the guarantee is not received, the number of persons indicated on the BEO’s will become the guarantee. The terms, conditions and guarantees of the BEO signed by you supersede and amend any previously contracted minimum revenue if the BEO increases the minimum provided for in the Contract.

Minimum Guarantee Policy for Meal Service

All buffets (with the exception of Continental Breakfast) have a minimum guarantee of 25 people. We will prepare a buffet for less than 25 people; however, the Client will be responsible for a minimum charge of 25 people on the final bill.

All plated meals served in our banquet space require a minimum of 8 people. We will prepare a seated meal for less than 8 people; however, the Client will be responsible for a minimum of 8 meals on the final bill.

Overset Policy

To accommodate unexpected guests, we will prepare to serve an additional 3% above the guarantee, but only up to a maximum of 30 guests (i.e. the maximum number of attendees we will set for over the guarantee will not exceed 30 people). Payment will be based upon the final guarantee or the number served, whichever is greater.

Additional conditions for oversetting include:

These tables will be set with linen, china, glass, and silver only and have a “Reserved” sign placed on them. These tables will NOT be pre-set with food items.

If, at the request of the Client, the overset tables are preset with any food items, there will be a per person charge to cover the cost of the additional product and service.

Any food product served above the overset will be based on availability, selected at the hotel’s discretion and subject to a 15% surcharge.

All substitute items will be counted as part of the overset and not in addition to the overset number.

The “overset” meals will be a vegetarian option.


Pricing/Taxes/Service
 
Due to market fluctuations, menu prices cannot be guaranteed before 60 days prior to your event. Final prices are not guaranteed until the signed and dated Banquet Event Orders (BEOs) are returned by you - the client. All food and beverage is subject to a 21% Service Charge and 10% sales tax (tax on alcoholic beverages will vary depending on the type of alcohol). Please note that Service Charge is taxable based on Alabama state law. 

Food and Beverage, Service Charges and Taxes are subject to change without notice. 

Outside Catering

The Client may not bring in any food/beverage or alcohol into the Complex.. All food/beverage and alcohol service MUST be provided by the Complex. 

Water and Iced Tea Policies for Banquet Set-Up

In an effort to be environmentally responsible, the Complex has implemented procedures for banquet meal functions and meeting room set up to help conserve water.
 

The standard banquet set-up will include either pre-setting of iced tea or water. 


 

State Of Alabama -ABC Board – Alcohol Service

No ABC Board licensee shall allow on the licensed premises the consumption and/or possession of any type of alcoholic beverage which the licensee is not authorized to sell. Further, the practice of brown bagging or customers bringing their own alcoholic beverages is prohibited on ABC Board licensed premises.

Y-Cater holds the exclusive license for the supplying and servicing of alcoholic beverages in all these locations.
